Use Microsoft 365 to Secure your Data

Often when we talk to organisations about moving their data to the cloud, the decision makers are rightly concerned. The chief concerns are:
- who owns the data if it is not on a server purchased by the organisation; and
- how safe can it be to have data on servers that are always online
Microsoft are very clear about how they protect your data. And it does remain your data. They set out here the safeguards they have in place including encrypting your information.
In addition to the protection Microsoft have put in place, there are a number of safeguards that can be implemented to protect your data.
These include:
- Data Leak Prevention Rules. These can be set in place to prevent the sending out of confidential personally identifiable data. This would prevent your employees accidentally emailing out a spreadsheet with a list of customers’ details on
- Sensitivity labels. The new way to make sure only the right person has access to the right information. Labels can be set to make documents confidential. The label can control if a document can be emailed, downloaded, edited or printed. Labels can be made available for employees to assign to documents or assigned to a Microsoft Team, so that everything in the Team becomes confidential (and if you are not using Teams for working with others in your organisation or to access your files read about the advantages of doing that here)
- Microsoft Purview can automate the discovery and classification of data. Using Microsoft Purview Message Encryption allows emails to be sent in an encrypted fashion, controlling who has access to the email; how long it is available for and whether it can be forwarded on.
